What is Guest Folio?

A guest folio is the itemized record of all charges and payments associated with a guest's stay at a hotel.

A folio starts when a guest checks in and accumulates charges from every department throughout their stay — accommodation, food and beverage, bar, laundry, guest services, and any manual charges. Payments, refunds, and adjustments are also recorded on the folio, creating a running balance that is always current.

Modern PMS systems like Hospio360 build the folio automatically. When a restaurant order is linked to a room, the charge appears on the folio instantly. At checkout, the invoice is already complete and can be exported as a PDF.

Example

A guest checks in for 3 nights. Their folio accumulates room charges, two restaurant meals, a laundry order, and a minibar charge. At checkout, the folio shows all charges, all payments made, and the remaining balance.
