One booking form that handles every scenario
Most hotel systems have separate flows for reservations and walk-in check-ins. That means two screens to learn, two sets of fields, and two chances for mistakes. Hospio360 uses a single booking form with a toggle at the top: check-in or reservation.
The form collects room selection (filtered to available rooms by type), guest title, full name, phone, email, number of adults and children, nightly rate (auto-filled from the room), check-in and check-out dates, and an optional discount as a fixed amount or percentage. An auto-calculated summary shows the duration in nights, effective rate after discount, and total cost before you submit.
For check-ins, the check-in date defaults to today and checkout to tomorrow. For reservations, you pick the dates. Everything else is identical.
Status transitions that mirror real hotel operations
A booking moves through four states: Reserved, Checked In, Checked Out, and Cancelled. The system only allows valid transitions — a Reserved booking can be checked in or cancelled. A Checked In booking can only be checked out. Checked Out and Cancelled are final states with no further changes.
When checking out a guest, the system shows the total amount due, what has been paid, and the remaining balance. You can record a final payment right in the checkout dialog — choose the amount, method, type, and add a reference number. If the balance is settled, the guest checks out. If not, the outstanding amount stays on the folio for follow-up.
No ambiguous statuses. No accidental double check-outs. Just a clean, linear workflow.
Payments that flex around your operations
Not every guest pays the same way or at the same time. Some pay a deposit at reservation, installments during the stay, and a final balance at checkout. Others pay everything upfront. Corporate guests may have the room billed to their organization with a daily spending cap.

When creating a booking, optionally enable an initial payment — set the amount, choose from cash, card, bank transfer, mobile money, or any of 12+ methods, select the payment type (deposit, installment, final), and enter a reference. During the stay, record additional payments anytime. The folio tracks every transaction with running totals.
You can also link a booking to a corporate organization, setting a daily spending cap that limits chargeable expenses per day.
A bookings table built for busy reception desks
The bookings page shows every booking in a searchable, filterable table: ID, guest name, room number, room type, amount paid, balance, status badge, and stay duration. Status badges are color-coded — green for Checked In, yellow for Reserved, blue for Checked Out, red for Cancelled.
Filter by status to see only active guests, only upcoming reservations, or only completed stays. Each row has a dropdown with context-specific actions: change status, record payment, view folio, or view guest details. Guest details show the full profile — name, phone, organization, adults, children, nightly rate, discount, accommodation cost, total due, and balance.
