A dashboard that tells you everything at a glance
When your front desk opens for the day, the first thing they see is a dashboard with five KPIs: total check-ins, available rooms, reservations, total rooms, and live occupancy rate. No digging through reports or counting keys on a board.
The rooms table shows every room in the property with its ID, room name, type, branch, status, current guest, and facilities. Status badges update in real time — Available in green, Reserved in yellow, Checked In in blue, Dirty in red. Filter by status or room type, search by room number, and export the full list as CSV, PDF, or Excel.

Check-ins and reservations in one flow
Whether a guest walks in or has a reservation, the check-in process uses the same form. Select a room, enter the guest's name, phone, email, number of adults and children, set the nightly rate with an optional percentage or fixed discount, choose check-in and check-out dates, and collect an initial payment with method, type, and reference number.
Reservations follow the same flow but mark the room as Reserved instead of Checked In. When the guest arrives, the reservation transitions to Checked In with one status change. At checkout, record a final payment with the outstanding balance shown clearly — total due, amount paid, and remaining balance.

A guest folio that captures every charge automatically
The guest folio is the financial record of a stay. Every charge from every department posts here automatically — Accommodation, F&B, Bar, Laundry and Valet, Guest Services, Manual Charges, Other Income, Payments, Refunds, and Adjustments. Each entry shows the date, description, who posted it, charge type, and a running balance.
If a charge was posted in error, void it with a reason that gets logged for audit. The folio status tracks whether the account is Open, Settled, or has a Balance Due. At checkout, export the full folio as a professional PDF statement with one click.

Payments that work the way your guests pay
Hotels in different markets accept different payment methods. Hospio360 supports cash, card, credit card, debit card, bank transfer, mobile money, cheque, online payment, PayPal, cryptocurrency, direct debit, and petty cash. Each payment records the date, amount, method, type (deposit, installment, final, refund), reference number, and status.
The payments table lets you search by guest name, room number, or reference. Filter by payment method or status — Success, Pending, Failed, Cancelled, Refunded, Partly Paid, or Fully Paid. Every transaction is tracked and auditable.
