What is GRN (Goods Receipt Note)?

A Goods Receipt Note (GRN) is a document that records the receipt of goods from a supplier, verifying what was delivered against what was ordered.

The GRN process involves comparing the delivery against the purchase order, inspecting quality and condition, recording quantities received versus accepted, and posting accepted items to inventory. Modern inventory systems allow recording batch numbers, expiry dates, damage details, and rejection reasons per item during the GRN process.

Example

A hotel orders 100 towels from a supplier. When the delivery arrives, the receiving team creates a GRN noting 98 towels received, 95 accepted (3 were damaged). The GRN is posted to stock, updating inventory by 95 units.

Why GRN (Goods Receipt Note) matters

Without a GRN process, inventory counts drift from reality. You think you have 100 towels because you ordered 100, but 5 were damaged on arrival. A proper GRN catches discrepancies at the door before they become problems in operations.
